PLEASE READ OUR BOOKING TERMS & CONDITIONS CAREFULLY
“Wild with Nature” is a trading name of Shropham Conservation Ltd (us, our or we). We are registered in England and Wales under company number 14788380 and have our registered office at Oxygen House, Grenadier Road, Exeter, Devon EX1 3LH. Our main trading address is at Manor Farm, Shropham, Norfolk NR17 1DX.
These terms and conditions (terms) are a binding contract between us and you, our guests (you or guests) for your stay at Wild With Nature (WWN or our site). These terms are deemed accepted on receipt of payment by you and the confirmation of your booking being provided by us. If you do not receive a confirmation email, you must advise us within 24 hours.
We reserve the right to change prices and our terms without notice. We also reserve the right to refuse entry to our site, cancel bookings or instruct people to leave our site for any reason, including but not limited to inappropriate behaviour, wilful damage, or dangerous weather or site conditions. Your booking with us constitutes acceptance of our terms and our privacy notice.
Booking
We take bookings from people over 18 years of age. Individual and small group bookings can be taken via our website, or by phone or email. The minimum booking is for 2 nights, or 3 nights over bank holiday weekends. Small groups of up to 12 people or 3 properties may book together, sharing communal facilities with other guests onsite that are outside of the group. Groups over 12 people or 3 properties are also welcomed. These will be classed as an ‘Exclusive Use’ booking and can be booked by phone or email only. Confirmation of your booking will be sent by email after we receive your deposit. Please note that no stag or hen parties are permitted, unless by prior agreement.
Payment
On booking, we require a 25% deposit. If this is not paid within 48 hour, your booking will be automatically cancelled. The remaining balance becomes payable six weeks prior to your arrival. A balance reminder will be sent 7 days before the balance due date and should be paid within 7 days. If you book within six weeks of your stay, full payment will be required on booking.
COVID19
By booking to stay at WWN, you agree to abide by any government restrictions relating to Covid that are in place at the time of your stay.
Changes to bookings
Please let us know as soon as possible should you need to make a change to your booking. We will endeavour to accommodate any changes you wish to make, however we reserve the right to charge an administration fee of £25 if required.
Cancellation by you
If a cancellation is made at least 6 weeks before your arrival date, then a full refund of your deposit will be given. Cancellations from 6 weeks to 2 weeks before your arrival will receive a 75% refund. Cancellations within 2 weeks of arrival will not be refunded unless we are able to re-let your booking (if this occurs, we will give you a 75% refund). Unfortunately, we cannot transfer bookings to someone else.
We recommend you take out holiday insurance to cover illness, cancellations and accidents at the very least. We are able to offer cancellation cover through XCover (formally Booking Protect) (see bottom of this page for further information).
If you wish to reschedule your stay under the above terms, we reserve the right to charge an administration fee of £25.
Cancellation by us
In the event that we need to cancel your booking due to reasons such as, but not limited to, extreme weather conditions or staff unavailability (i.e. due to ill health), we shall inform you as soon as possible and refund all amounts you have paid to us for your booking within 14 days. We reserve the right to close our site in the unlikely event that it becomes dangerous. In this case, you will be refunded pro-rata for any period of your holiday which you are unable to take. We do not accept liability or responsibility for any loss, including consequential loss, caused by cancellation on our part.
Arrival and Departure Times
Check-in days are Monday, Wednesday and Fridays; departure days are flexible, however we have a 2 night minimum stay (3 nights in July, August and over bank holidays).
You can self check-in anytime after 4pm; on occasion you may be able to check in earlier (however this will need to be agreed with us). You will receive detailed arrival instructions by email two weeks before your arrival date. If you do not receive this for any reason, please contact us.
Check out time is 10am and we ask that you leave the accommodation in the clean and tidy condition that you found it. Please put away your washing-up and any items you have moved from elsewhere, empty wood-burners and fire-pits of ash, empty your (cold) hot tub and place rubbish and recycling in the outdoor bins provided. All windows and doors (including yurts/tents and the Nest) must be closed (and locked where applicable) and lids placed on firepits/hot tubs. Communal hot tub (at The Lakes) booking slots are from 1-11pm, however if booked for 2 consecutive nights, it can be used during the morning between bookings also. If booked on your arrival day, we recommend that you light it upon arrival at 4pm, as it can take 2-3 hours to heat. The burner will be stocked ready for you to light.
We reserve the right to charge an additional fee for departures that are later than the specified time, as this has a significant impact on our housekeeping team’s preparations for the next guests and staffing costs.
Providing all accommodation (including outdoor kitchens and The Nest) is properly vacated by 10am you are welcome to stay on site and use the outdoor facilities until 11am.
Security Deposit
For all bookings, we require a pre-authorised security deposit, which covers damage, breakages or extra cleaning that may be required. For individual bookings at Honey Pot Meadow and The Lakes, we require £250 for each hut or yurt and £150 for bell tents. For exclusive use bookings at the Lakes, we require a security deposit of £750. Security deposits will be taken from the card used to place your booking up to 4 days prior to your arrival, and will be released a minimum of 7 days following your departure.
We recommend that you check your accommodation for damages or breakages upon arrival and notify us immediately of any that you find. This should be via email to info@wildwithnature.co.uk if it is non-urgent, however if you wish for this to be rectified immediately, please call 01953 525325.
Small accidental breakages are to be expected from time to time, but please let us know about anything that gets broken or isn’t working before you leave.
Should any of our property become broken or badly damaged (beyond what is expected through normal wear and tear), or should property be found to be missing following your departure, you (the person taking out the booking) will be held responsible for the cost of repair or replacement of said property.
It is essential that usage and cleaning instructions are carefully followed when using the Ooni pizza ovens at Honeypot Meadow. Failure to do so could result in damage to the pizza stone or the oven itself, the replacement cost of which will be deducted from your damages deposit.
Our luxury white bed linen and towels can become permanently damaged by sun cream, fake tan, hair dye and food and are costly to replace. We therefore ask that you avoid applying suncream on or near any of our soft furnishings and avoid eating food that may stain (particularly pizza or tomato-based sauces) on the bed. We also suggest that if applying fake tan, using hair dye or using any other product prior to your arrival that is likely to transfer onto fabrics, that you consider bringing your own bedding and towels to prevent damage to our property. If staining or damage does occur and the items cannot be cleaned, the cost of extra cleaning and/or replacement will be deducted from your damages deposit.
We ask that you leave your accommodation and communal areas in a clean and tidy condition (as detailed above) and ensure items are returned to where they belong (to prevent these being marked as missing). All doors and windows should be securely closed (and locked where applicable) to prevent rain egress or wildlife and all furniture (including chairs & bean bags) should be brought back inside. If the accommodation is not left in what we deem to be an acceptable condition and requires additional cleaning time above what is normally expected, an extra cleaning charge will be deducted from the damages deposit at £15 per hour. We also reserve the right to deduct £10 per accommodation or furniture item if left open to the elements.
Your damages deposit will be refunded in full within 7 days of departure, unless deductions need to be made for extra cleaning, breakages or damages. If this is the case, we reserve the right to extend this refund period, to enable us to assess the extent and cost of repair/replacement.
Lost Property
We will keep any lost property found on-site for 30 days. Any belongings left behind after your departure must be claimed within this timeframe and can be collected (by arrangement) or, if you cover the cost of postage plus a £10 administration fee, returned by post.
Liability
We cannot accept responsibility for any loss, damage or expense arising from industrial action, terrorist activity, adverse weather conditions, acts of government, pandemic, or any other event outside our reasonable control. Further, we cannot accept liability for theft, loss or damage of whatever nature during, or as a result of you staying at our site.
Although we will make every effort to rectify any issues that may arise, we cannot accept responsibility for any issues that are outside our reasonable control such as, but not limited to, plumbing / electrical / water supply issues, breakdown of equipment, pest problems, damage as a result of extreme weather conditions, structural damage/repairs or disturbance resulting from necessary site maintenance.
Your Safety on Site
You are coming to stay on a working farm which has its own natural hazards and an array of wildlife that you need to be mindful of. Uneven ground, long grass, limited lighting, mud, dust, wildlife and insects may all cause problems at certain times of year. Your stay will be enhanced if you bring suitable clothing and footwear to allow for the changeability of the British weather.
Honey Pot Meadow is recommended for adults and The Lakes is recommended for adults and children over 5 years old. We don’t feel that our sites are appropriate for children below this age, as there are no barriers around the water’s edge. Young infants who are not yet mobile may, however, be accommodated in a travel cot in some units (please ask). We are able to supply this and a fireguard if required, however guests will need to bring any other equipment. Ultimately, the decision rests with parents as to whether they wish to bring young children at their own risk. Regardless of age, children must be supervised at all times.
Some of the guest equipment, including the BBQs, pizza ovens, wood burners and hot tubs may cause injury if misused. Please ensure you read the safety information and operating instructions fully before using and ask for help if anything is unclear.
By booking and coming to stay at our site, you confirm that you understand the natural hazards of our site and agree to be responsible for yourself, your children and any children in your care. In addition, you agree to take all reasonable precautions against personal injury, injury to others and damage to the farmland, facilities and accommodation.
We will ask you to sign a disclaimer to this effect on or before arrival, as part of the check-in process.
Site Regulations
- Noise levels must be kept to a minimum after 9pm and all noise must cease at 11pm. We are unable to permit amplified music or loud acoustic music (such as drums, brass instruments) at any time. If a noise complaint is received after this time which results in us needing to make a visit to the site, we reserve the right to deduct £50 per visit from your security deposit. If noise continues after 2 warnings or visits, you will be asked to leave the site immediately.
- No further guests are permitted on site, unless previously agreed with us.
- We do not allow fireworks or sky lanterns on site under any circumstances.
- If conditions are particularly dry, we may prohibit the lighting of fires (including, but not limited to, wood burners, firepits and hot tubs).
- Only wood or charcoal provided by or purchased from us may be used in the wood burners, fire pits and hot tubs.
- Smoking is not permitted in any form (including e-cigarettes) inside any of our units. Smoking is permitted outdoors (unless dry ground prohibits this), however any cigarettes and matches used outdoors must be safely extinguished and disposed of properly in the ash bins provided around the site. Under no circumstances must they be put out and/or thrown on the ground. For each cigarette butt found on the ground or inside accommodation, £5 will be deducted from the security deposit.
- Please respect the natural environment around our site and abide by the Countryside Code – leave gates as you find them and leave no trace on the land.
- Please take care to use sort your waste appropriately. General waste should go into black bin bags into the corresponding steel bins or the large green commercial bin at The Lakes. ‘Dry, mixed recycling’ must be clean/dry and placed in the labelled steel bins or the large black wheelie bin (The Lakes only). Glass should be separated into its own steel bin or the small black wheelie bin (The Lakes only). We ask that you are considerate in how your dispose of unpleasant or intimate waste items.
- With the exception of assistance dogs, unfortunately we cannot permit dogs on our site. This is non-negotiable. If you plan on bringing an assistance dog (one only), please discuss this with us prior to booking and be prepared to provide evidence of this. Please note that the dog must not be allowed on any furniture or soft furnishings and must not be allowed to disturb wildlife. Dog waste must also be disposed of considerately.
If you are asked to terminate your stay due to breach of these regulations, or inappropriate or unsafe behaviour, then no refund will be given. We also reserve the right to retain your security deposit.
Customer Complaints and Feedback
If you are not entirely happy with any aspect of your stay, please speak to the site manager or call 01953 525325 and we will endeavour to deal with any issues. It is best to do this before you leave, as things can be harder to resolve once time has elapsed.
We welcome feedback, ideas and suggestions as to how we may improve our site for future guests. You will receive a link to our feedback form at the end of your stay – please help us by completing it. We also welcome reviews on our website, Google, TripAdvisor or your booking platform.
XCover Booking Refund Protection
We hope you will be able to come and enjoy your stay with us, but we understand that sometimes life gets in the way.
We are pleased to be able to offer refund protection through our partnership with XCover.com (formally Booking Protect). This refund protection allows you to apply for a full refund on your booking should you, or anyone in your party, be unable to attend due to unforeseen circumstances. This includes injury, illness, travel trouble and other unexpected events. Full details can be found in their terms and conditions here.
The option to buy refund protection will be automatically offered at the time of booking. Please note the cost is automatically calculated based on the total amount of your order.
